Process Automation
for Client Information (PAMi)

This project is funded by the European Regional Development Fund (ERDF) and the State of Lower Saxony.

Brief Description

PAMi is an AI process chain that relieves tax consultancies by automatically recognizing client information and converting it into prepared postings.

The Problem

Every day, mail arrives at a tax consultancy through very different channels. Invoices, notices from the tax office, handwritten receipts, scans, photos, inquiries by email. Each individual document must be opened, reviewed, assigned to the correct client, and pre-coded before the actual work can even begin. Even a small firm with 60 clients processes around 14,000 documents per year. At five minutes per document, that amounts to approximately 1,167 working hours—nearly a full-time position dedicated solely to routine tasks.

The Approach

PAMi treats every incoming document as the starting point of a task. The system reads the content, reliably identifies which client the document belongs to, checks which processes are currently open for that client, and derives the next logical task. This task is posted, prioritized, and assigned to the appropriate specialist. If the assignment remains uncertain, the system stops and hands over to a human. This ensures that client information is never incorrectly linked.

Technically, PAMi combines AI Vision, Large Language Models, vector search, and the Model Context Protocol into a multi-stage chain. The solution is operated on dedicated infrastructure, ensuring that data sovereignty remains entirely with the firm.

What We Want to Achieve

  • Reduction of processing time per client by at least 10 percent
  • Straight-through processing rate of over 30 percent for standard documents
  • Less than 5 minutes from mail receipt to assignment to the specialist
  • Seamless deadline monitoring and fewer transfer errors
  • Tangible relief for employees from administrative routine
